Before you start

Prepare the right information

  • Confirm that the record belongs to the current school and collect only information the school needs.

Workflow

Complete the task step by step

  1. 1

Open Students and search by name, email, phone, permit reference, city, or ZIP code.

  2. 2

Use the city and ZIP filters after those values exist in school records.

  3. 3

Create or open the student profile and review contact details, address, permit status, and optional profile photo.

  4. 4

Use the record tabs for notes, guardians and portal access, lessons and progress, documents, payments, communications, and profile details.

  5. 5

Add factual staff notes with enough context for the next permitted user to understand the follow-up.

  6. 6

Return to the record after a lesson, document review, payment update, or communication to confirm the related history is visible once.

Expected result

What success looks like

The student profiles, search, photos, and notes workflow is configured or understood, and the user knows the next dashboard step.

Public website impact

Nothing changes on the public website until an authorized user saves or publishes a setting that is designed to be public.

Troubleshooting

Common problems to check

  • Profile photos are optional and private to the dashboard unless a separate public workflow explicitly says otherwise.
  • Do not duplicate a student simply because an email, phone number, or address changed; update the existing tenant record when appropriate.

Important

Keep these boundaries in mind

  • Profile photos are optional and private to the dashboard unless a separate public workflow explicitly says otherwise.
  • Do not duplicate a student simply because an email, phone number, or address changed; update the existing tenant record when appropriate.
